Changing the Name on a Reservation

Change the name on a reservation by using the Edit Reservation Guest list option on the Reservation Maintenance menu. 

Go to Reservation menu on the top horizontal menu bar.  From the drop down menu of options choose Reservation Maintenance. On the Reservation Maintenance menu choose the last option

Enter the Reservation guest name or number of the guest you want to change.

The reservation information will display and the guest will be highlighted.

Click the mailbox icon with the green plus sign beside it. This takes you to the mail file.

If the guest is a previous renter enter the name in the Search field to find them.  If they are a new guest click the "New" option and add their information.  Click "OK".

You will be returned to the Reservation Guest List screen.  Highlight the new name and then choose the green up arrow to move the guest name to the top of the list.  You can delete the guest you do not want on the list by highlighting or selecting it and choose the red X.

Click "OK" when finished. Choose File and Exit to leave the Edit Reservation Guest List screen.

This option is great for storing multiple names on a reservation or when a guest wants to block off rooms in their name such as for Weddings or Family reunions.

Tip:  This option is not available from the Reservation Maintenance option on the Reservation View screen..

The payments for reservations can be posted directly into RMS. If you are posting checks or cash you will take the money to the bank to DEPOSIT.  If you take credit card payments, you can enter these into RMS and clients with integrated credit card processing allow your merchant processor to DEPOSIT the money in your bank.

Check all entries for accuracy in RMS by running the Undeposited Funds Report.  Compare it to your Merchant Processors report such as the List Batches. If every transaction is correct you choose Make Deposits.

1. Enter Reservations
2. Enter Payments for Reservations
3. Print or View the Undeposited Funds Report
4. Check the report for accuracy by comparing it to your Merchant Processors Credit Card Reports
5. Process the report /Make Deposits.
