Summer is, for many of you,one of your busiest seasons! Are your rates up to date? Learn about the most common types of rates and how to adjust them in this issue.

When you need some marketing advice where do you go? Find out some suggestions on news feeds and blogs that offer advice to vacation rental managers.

Rates and Seasons  
  

The most common types of rates are Weekly, Daily, Per Person and Progressive rates.  RMS offers options to charge these types of rates.  The most commonly used type of rate is the Weekly and Daily pricing model.

In RMS, rate Pricing is always adjusted in the Rates File.  To find the rate you would like to adjust go to Files --->Unit Rates.

Each rate must be associated with a season.  In each rate you will see the season breaks.  Select the season or set of dates you want to work with and then adjust the Weekly amount and the Daily amounts as needed. If you want to change the season breaks or the Dates that the rates change, you do this in the Seasons File.  Managers often change the beginning and end dates of seasons uniquely for each year and adjust holiday Dates in the Seasons File and then pricing in the rates file. RMS also allows you to use progressive pricing with Day Rates and Number of people rates.  While these options are not used as often they are available in RMS!

In this newsletter you will find the latest news from programming and development, information about our new partners and how to better manage your cleaning.

  

In February we had an update go out so if you find your version information is anything less than 5.1.02.14.2014  please
click the update link in your RMS Version information screen and download the latest update!   To find that information go to Help>About RMS.  The check for updates link will be to the right of your version info.

Springtime is often associated with warmer weather, flowers blooming, trees budding and CLEANING!  So RMS is highlighting the Housekeeping module and some of the new features we have added to assist you in managing cleaning in your properties.

 Housekeeping in RMS  

The RMS Housekeeping module is also known as the Unit Clean Status. This functionality has been around a long time but has recently been updated to include mobile technology such as the Vendor Login portal and the Clean Unit Text feature.

Originally the Unit Clean Status menu was an in-house option that provided a way for the status of the property to be noted in RMS.  As properties were progressing from dirty to cleaned. 

The status in RMS would have been set by the back office person or by a call-in module.

 

The basic flow of Unit Clean Status is from Occupied to Dirty to Clean.  Each of these could have a sub-status. Most companies, for example use Clean-Not Inspected and Clean-Inspected prior to allowing the guest to check-in.

  The updated Unit Clean Status can be toggled from a phone or the Vendor Login portal.  Almost everyone has a cell phone or tablet.  The Cleaning Crew can access a list of their units that need to be cleaned.  The cleaner can check the properties off as they clean them using the Vendor Login portal.  The Vendor Login Portal is accessed using a secure user name and password specific to the vendor and the properties that vendor is assigned to clean.  The Inspector can text a number that will change the Unit status to Clean Inspected.  Guests can even get a text automatically that tells them "Your Unit is ready!"

As processing credit cards becomes increasingly important to vacation property managers, RMS has added two more Credit Card processors to our list of trusted partners.

Online Booking

Are you already integrated with HomeAway?  Are you interested in allowing guests to book through your HomeAway listing?  RMS is looking for a few good qualified candidates who are interested in participating in a new Pilot Program with RMS and HA.

HomeAway will begin allowing Integrated Partners the ability to accept online booking through the HomeAway website.  If you would like to allow your RMS to be part of this new additional booking method please click on this link: HA Pilot Program and fill out a quick survey.

Programming recently released an update. All hosted RMS users should download this update when prompted.  For information on the update you can log into ResortPilot.com and go to the Knowledgebase article, RMS Update History. PC based users need to say YES to the update after it downloads in order for it to install or apply to your PC-based system.  If your version information reads anything but 5.1.12.16.13 please send us an email or give us a call and let us know so that we can assist you in getting the latest update.

File Manager Makes Uploading Photos Easy!
Check out File Manager today!
 
 
You can login on any browser, on any computer and upload photos, logos, any files to your RMS!  File Manager keeps them organized for you just like the RMSFTP utility.  Check it out:
 
1. Go to ResortPilot.com
2. Scroll down to Web Services and select the File Manager icon
3. Enter your Username and Password.
4. You will see the Unit Photos, Custom Letters, Attachments, Exports and Online Content tabs as shown in the picture above!
 
  • To upload photos you will use this icon , Browse to the photos on your pc and then choose 5 or 6 to upload.
  • To download an export report you created such as previous renters emails. Run the report in RMS.  Next login to File Manager.  Click the Export Tab.  Then choose the file to export.  A drop down menu will give you the download option.  Just click on it!
 
Seriously it is that simple!

Annual Procedures in RMS

 

  1.  Complete all Monthly Procedures for December 2013.
  2.  Print Owner Copy Unit Totals as needed.  Go to Reports>Owner Reports>1099's and Unit Totals.
  3.  Print 1099's. RMS will print the federal 1099 information for the Owners and the Vendors.  RMS will also create a file you may send the IRS if you choose to submit the 1099s that way.  The 1099s should be printed after the statements for the last month of the year have been finalized.  Keep in mind that the information you entered and maintained in RMS is the data that will be reported.
  4. Upgrade Unit's Date File - ONLY IF NEEDED.  This option will drop the first year tracked and build a new calendar year for booking.  Make sure you are done with the first year before running this utility.  Some reports will no longer be available, but all your reservation data will still be at your fingertips.  If you need assistance with this utility please call RMS Support. 
  5. Update Unit Rates.  You can run the Rental Rate Listing, found in the Reports Menu>Unit Reports, to check your rates for the new year.  Remember rates must be changed in the Unit Rate File.  If you want to change the dates the rates change, go to the Seasons File to edit the dates.

Edit your RMS Letters with the New HTML Editor Kompozer
  

Many RMS users can now view their html letters without seeing all the html code.  Users can modify custom letters in RMS with the new WYSIWYG (what you see is what you get) html letter editor.   

The new letter editor allows you to change font styles and colors, build tables and lists and even insert images and links.  Toolbar buttons allow you to quickly master an html letter without ever having to know html code.

Your letter displays the way your reader will see it as you are creating it.  No more hunting through the code to find the line you are looking for or the merge tag you want to change. 

Kompozer comes with its own Help articles that allow you to find quick answers to questions about editing your letters.  Your letters should reflect your style in addition to providing key information and establishing an ongoing contact with your guest, so don't forget to keep your letters fresh and updated just like your web site.  Try out the new Kompozer in RMS!

Summer is a busy season for many vacation rental managers.  Helpful tips and links are always available in our newsletters and online to help you stay efficient even in your busiest seasons.

Many of you drive your website with RMS and are constantly updating your website and keeping it fresh with RMS Online Booking (OLB).  In this newsletter we are featuring our new easy Web Uploader available to all our AdvancedCare members.  In addition to RMS Online Booking, RMS also has a way for your owners and vendors to get plugged in and stay informed.  Check out the demo links to our Cleaning Vendor and Owner Portals.

 New Web Uploader for Your RMS!  

RMS has a new easy way for AdvancedCare hosted members to upload  unit photos, custom letters, online graphics and attachments.   The new web-based uploader requires a user name and password .  (If you do not have one yet you may request one from Support)

Once you enter your company user name and password you can browse to photos on your pc and upload them to your hosted RMS.  Users can create unit specific folders for their photos to keep their photos organized.  The unit folders make it simple to assign or import the photos to the RMS Unit File.  This new browser based tool is for uploading photos and not for storage of photos.  Photos that are uploaded must be assigned within 30 days. 

Uploading photos is not the only thing the new Web-uploader does.  If you have been using attachments to your letters, you may want to consider changing these attachments to links by uploading your pdfs as online content and inserting a link within your letter.  When pdfs are uploaded as online content a web address becomes available for you to insert into a customized letter in RMS.  When your guest receives one of your letters, your guest can click on the link and download the information as needed.

Exporting of custom reports is also made easier with the new Web-uploader.  If you would like more information about the new Web-uploader, please give us a call: 800-366-5152-ext 255 for Support.

  Owners and Cleaning Vendorsphonepic 
 
Owners can log into RMS with a secure user name and password and view their specific unit information with the RMS Owner Login module.  Owners can check their unit availability, book their owner reservations and view their owner statements.  The Owner Portal is a great way for vacation rental managers to keep their owners up to date and informed on their unit activity without interrupting phone calls.  For a quick demo of this feature check out this video:
  
Cleaning Vendors can log into RMS and see what needs to be cleaned with the Cleaning Vendor Login Portal.  This feature of RMS even allows vendors to check off units that have been cleaned and units are marked as clean and ready for arrival in RMS.  For a quick video on this RMS feature click on this link:

Pet Fees and Other ChargesPetFriendly  

    Allowing pets may boost occupancy rates and like any extra fee, RMS can assist you in managing your pet policy.  Here are some things to consider:

 

First, set your pet policy.  Are you limited to small dogs under 50 pounds?  Are certain breeds excluded by your insurance policy?  Define your rules and regulations clearly for your guests and their pets.

 

Would you like to add a pet letter to your RMS outlining your pet policy and services available for pets?  This may be done using the Reservation Form letter in Custom letters or it can be a link to an online content letter.  Be sure and ask RMS Support if you need help setting up RMS letters or online content letters.

 

Do you want "Pets Allowed" to be a searchable field in RMS?  RMS allows for 6 customizable search fields that can also appear on your website.  If you have only a small number of units you may wish to have "Pet Friendly" mentioned elsewhere in the unit details.

 

Do you want to charge a pet fee?  Is there a pet deposit?  In RMS a pet fee can be charged per reservation or per night and for each pet. RMS can be set to prompt for the quantity of pets.

 

Whether its a pet fee or bicycle rentals RMS can assist you in managing the details that help your guests have the kind of experience that they'll tell their friends and family about and keep coming back year after year.

Go Clean and Green in RMS

The new Cleaning Vendor portal gives your cleaning vendors a way to login live and get their cleaning assignments from RMS without having to access the full system.  When a vendor logs in, they will see only the properties they have been assigned to clean.  The cleaners can then change the status of a unit from dirty to cleaned!  It's that simple!  Your cleaning vendor or inspector can login using their smart phone, android or iPad.  The screen information is derived directly from the RMS Cleaning Work Order Summary -but no printing required!  The login method allows you to communicate with your crews and for them to communicate to you with efficiency and no waste of paper!

Annual Procedures

1. Complete all Monthly Procedures.

2. Print Owner Copy Unit Totals as needed.  Go to Reports>Owner Reports>1099's and Unit Totals.

3. Print 1099's. RMS will print the federal 1099 information for the Owners and the Vendors.  RMS will also create a file you may send the IRS if you choose to submit the 1099s that way.  The 1099s should be printed after the statements for the last month of the year have been finalized.

4.Upgrade Unit's Date File - ONLY IF NEEDED.  This option will drop the first year tracked and build a new calendar year for booking.  Make sure you are done with the first year before running this utility.  Some reports will no longer be available, but all your reservation data will still be at your fingertips.  If you need assistance with this utility please call RMS Support. 

5. Update Unit Rates.  You can run the Rental Rate Listing, found in the Unit Reports menu, to check your rates for the new year.  Remember rates must be changed in the Unit Rate File.

Reviewing your Seasons and Rates

RMS allows you to book reservations for 3 years.  If you are already booking reservations for 2013 you will want to make sure your seasons are in line with the 2013 calendar and that your rates are accurate.. 

Editing your seasons can be simple.  Go to the Seasons File and retrieve the season file that your rates use.  Once you have it up, highlight the season or segment of dates that you want to change. Next, you will click "Edit" and you may enter a new start date or a new end date for that season or segment of the year.  Click "Apply" and 'OK" to save your changes.

If you want to change  the amount you are charging for a reaservation you will change these dollar amounts in the Unit Rates file.  Click on the Unit Rates icon from the Files Navigation menu.  To adjust the dollar amount of your rates,  select the rate from the list of rates on file or enter the rate ID and click Go to retrieve the rate you want to change.  You will see the seasons associated with the rate.  Highlight the season date range and you will see the dollar values for the Daily Rates and the Weekly available to change.  Do this for each season date range whose rates need to be changed.

If you use Day Rates, or rates that can vary depending on the number of nights rented, you will use the [...] Day Rate button at the bottom half of the Unit rates screen.  You will need to click in each day of the season you have highlighted.

 

Managing your Cleaning

 

RMS has a number of ways to assist you with managing your cleaning.  There are different ways to charge cleaning and several reports to assist you in tracking this information.

Most users of RMS use the cleaning charge value stored in the Unit File>Percents and Charges screen.  You can charge a different amount depending on the status or type of reservation booked such as a Standard Guest (A) reservation or an Owner reservation (B,C,CY).   You can also add more cleaning charges to a reservation using Other charges.  Cleaning can be charged to the reservation or the property owner.

What if you want to print a report to show what units need to be cleaned?  Many property managers use the Departure report.  This report selects units depending on the dates you enter and has several sorting options.  Priority cleanings, properties that have a departure and an arrival on the same day, are marked with a 'P' on this report. Notes can be included on this report as well.

Perhaps a better report to use is the Cleaning Work Orders and the Cleaning Work Order Summary.  These reports are found on the Reports Menu>Cleaning/Equipment reports. The Cleaning Work Order Summary will also show departures for units that need to be cleaned and can show next arrivals as well as priority cleans.  It can also show Linen Details, Sleeping Accommodations and sort by cleaning Vendor.  This summary report works in conjunction with the Cleaning Work Orders which are work sheets for the cleaning crew that you design in the User Designed Letters.

Do you want to run a report to show the amount of your cleaning costs and the amount paid? Cleaning costs may be entered in the Unit Inventory File>Cleaning Info tab.  You can also assign a cleaning vendor in this file on the Vendor Info tab. The Cleaning cost report can then assist you in calculating total costs and it can be organized by cleaning vendor.  Keep in mind that a cleaner may also be assigned to a reservation.  This is done via Reservation Maintenance>Assign Cleaning Vendor.  The Cleaning Cost report will also indicate if the reservation is to pay or the owner is to pay for the cleaning.  This report will total the cost amount and the paid amount for cleaning according to the dates you enter.

Imagine a simple text tells RMS a unit is clean and RMS  automatically texts your guest and lets them know their unit is ready!

This is one of the new Modules available in RMS this month. This Clean Text Module can work with or without the current Housekeeping module which allows you to track your cleaning up to the minute in RMS.  Guest Text requires use of the Housekeeping Module.
